What speed to lead measures
Speed to lead is the time between a person submitting an enquiry and someone from your side responding to it. It is measured in minutes rather than days, because that is the unit the person is waiting in.
It matters because an enquiry is not a record sitting quietly in your database. It is a person with a problem, four tabs open, and a strong incentive to write to whichever company answers first.
Where the time actually goes
In most teams the delay is not a person being slow. It is the path the enquiry takes before it reaches anyone at all:
- The form lands in an inbox that is checked once or twice a day
- Nobody owns the inbox, so each person assumes the other has replied
- The enquiry is forwarded for qualification and stops there
- Contact details are incomplete, so the first attempt goes unanswered
- Enquiries that arrive after hours wait until the next working morning
Fix routing before adding people
A response timer with an escalation path solves more of this than a new hire. The rules are not complicated: every enquiry gets an owner on arrival, a clock starts, and a second person is pulled in when the clock expires.
This is the same principle behind our lead generation work. A lead source without routing is half a system. Qualification decides who is worth the speed, and routing decides who gets it.
When the desk is empty
A large share of enquiries arrive outside working hours, and treating them as next-day work is a choice rather than a constraint.
You do not need someone at the desk at midnight. An immediate acknowledgement that sets an expectation, collects the details you are missing, and offers a call slot removes most of the wait honestly. The response timer then starts at nine.
For the repetitive overnight questions, AI integration can answer and escalate with the conversation attached. The point is not that a machine replied. The point is that the person who wrote at 11pm knows where they stand.
Speed without qualification is a fast no
Qualification still comes first. Reacting in four minutes to an enquiry outside your service area wastes the same conversation it would have wasted on day two.
The practical order is: qualify on the form, route everything that passes, then give those a response clock measured in minutes.
How to measure it this week
You need two fields and a spreadsheet: submitted timestamp, and the timestamp of the first meaningful response. A meaningful response is something a person could act on, not an automated receipt.
- Export the last fifty enquiries with both timestamps
- Find the median, then look at the slowest ten individually
- Separate working hours from out-of-hours, because they behave differently
- Assign an owner and a response timer to every enquiry from now on
- Re-measure after a full month, once the path has had time to settle
Frequently asked
One your process can meet on every enquiry. Most teams start by measuring their own median rather than a borrowed benchmark, set a timer the current process can hit, and tighten it from there.
Not if you are measuring the thing that matters. An acknowledgement tells the person their form worked. Track first meaningful response separately so the number cannot be inflated by an autoresponder.
Yes, but the value shifts. You are unlikely to close on the first reply when the decision takes months, so the goal is to acknowledge promptly and set a date for the next contact rather than leaving the thread open.
Yes, if it is worth doing. Anikaay Integration works with businesses in Pune and across India on lead generation, enquiry handling and follow-up. We start by asking what the problem currently costs you and what you have already measured, then say what we would change first — including when the honest answer is nothing. The first consultation is free, and we will tell you if a project like this does not make sense for your situation.
Use the enquiry form at the end of this article, call +91 7559436583, or message us on WhatsApp. We are based in Pune, Maharashtra, and work with businesses across India, mostly remotely. We reply within one working day. Bring whatever you already have — current enquiry volume, the process as it runs today, or the last quote you were given — and the first conversation will be about your numbers, not a pitch.
Scope sets the price: how many pages, systems or integrations are involved, how much content already exists, and whether you need ongoing support. We do not publish a price list, because a number quoted without scope misleads people. After the free consultation you get a written scope and price, and you can decide from there.
